Receptionist/Telephonist & Client Center Services – Gigajob
• Meet and Greet visitors (staff, non client and clients)
• Manage deliveries of various mail, couriers, parcels and other deliveries, ensuring receipt is documented.
• Ensure that all procedures in relation to compliance with the Swiss Banking Secrecy is completed and reconciled against each database.
• Ensure all records are stored securely and archive as required.
• Provide Switchboard service and direct calls as required. Amend recorded messages as required.
• Manage key access signing in & out for general & secured areas.
• Manage Visitor/contractor access cards for the data centre are in line with the procedure.
• Ensure all contractors are signed in and sponsors contacted and escorted.
• Manage with Taxi bookings.
• Manage Courier bookings and verify invoices as required.
• Zurich Office meeting room bookings
• Update CREGS procedures as required.
• Participate and support in emergency evacuations – role in contacting various areas as required.
• AD hoc admin requests
• Support Clients and internal LOBs in their meeting requirements.
• Setup & provide immediate support for meetings, conference calls, video conferences, web conferences as per request .
• Assist with the set up of management meetings & offsites, internal staff meetings, presentations, training sessions held within the client centre
• Organize the daily & weekly meeting room agendas to accommodate various last minute requests..
• Organize internal and external cocktails, receptions and dinners as required.
• Monitoring meeting rooms for requirements during the meetings.
• Arrange external catering and depending on numbers (late notice) assist with lunch and dinner service when necessary
